Sunlight & Shelter Pty Ltd (ABN 35696446509) ("Sunlight & Shelter", "we", "us", "our") respects your privacy. This policy explains how we collect, use, hold, disclose and protect your personal information, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to our website (sunlightandshelter.com.au), our architecture services, and our events, emails and promotions.

By using our website or services, or giving us your information, you agree to this policy.

1. The personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email, phone number and postal/suburb details.

  • Project information — details about a property or project you ask us about, which can include addresses, plans, photographs and your goals for a home.

  • Booking and event details — information you provide when you book a consultation, register for an event or webinar, or enter a promotion.

  • Recordings — audio or video of consultations or events, where you have been told they are being recorded (see section 4).

  • Billing information — for clients, details needed to invoice and process payment (we do not store full card numbers; payments are handled by our payment provider).

  • Website and technical data — information collected automatically when you visit our site, such as your IP address, device and browser information, and cookie identifiers (see section 8).

  • Things you send us — enquiries, survey or poll responses, competition entries (such as "reno regrets"), and any other information you choose to share.

We don't generally collect sensitive information, and we ask you not to send it to us unless it's necessary for your project.

2. How we collect it

We collect personal information directly from you — through our website forms, email, bookings, consultations, events and promotions — and automatically through our website. Occasionally we may receive it from third parties, such as someone who refers you to us, or a social media platform you interact with us through.

3. Why we collect and use it

We use your personal information to:

  • provide architecture services and respond to your enquiries;

  • run and improve our consultations, events, webinars and promotions;

  • contact you about your project, booking or competition entry;

  • send you updates and marketing where you've agreed to receive them (you can opt out at any time — see section 9);

  • improve our website and understand how it's used; and

  • meet our legal, accounting and record-keeping obligations.

We only use your information for the purpose you gave it to us, a directly related purpose you'd reasonably expect, or a purpose you've consented to.

4. Recordings and marketing

We sometimes record consultations or events. Where we do, we'll tell you beforehand and — if we'd like to use a recording for marketing (such as social media or our website) — we'll ask for your consent first. If you consent, we'll remove or obscure personally identifying details such as your full name and street address before publishing anything. You can withdraw consent for future use at any time by contacting us.

5. Who we share it with

We don't sell your personal information. We may share it with:

  • Service providers who help us run our business — for example our email platform, website host, online booking tool, webinar and promotion platforms, analytics provider and accounting software. Including Mailchimp, Squarespace, Riverside, Google, Xero and others.

  • Project consultants — such as engineers, builders or surveyors — where it's necessary for your project, and with your knowledge.

  • Others where you've asked us to, or where we're required or permitted by law.

We only share what's necessary, and we require our service providers to protect your information.

6. Overseas disclosure

Some of the providers we use store or process information outside Australia, and our practice is operated in part from Indonesia. As a result, your personal information may be accessed from, stored in, or disclosed to recipients in Indonesia and the United States (and potentially other countries where our service providers operate). We take reasonable steps to ensure your information is handled consistently with the APPs wherever it's held.

7. How we store and protect it

We hold your information in secure cloud-based systems and take reasonable steps to protect it from misuse, loss, unauthorised access, modification or disclosure. No system is perfectly secure, but we work to keep your information safe and limit access to those who need it.

8. Cookies and analytics

Our website uses cookies and similar technologies to help it work, remember your preferences, and understand how the site is used. You can control cookies through your browser settings; disabling them may affect how the site works.

9. Marketing and your choices

We'll only send you marketing emails if you've opted in, and every email includes an easy way to unsubscribe. Entering a promotion or booking a session does not, on its own, sign you up to marketing — that's a separate, optional choice. You can change your preferences or opt out at any time by using the unsubscribe link or contacting us.

10. Notifiable data breaches

If we experience a data breach that's likely to result in serious harm, we'll respond in line with the Notifiable Data Breaches scheme under the Privacy Act, including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.

11. Automated decisions

We don't use automated systems to make decisions that significantly affect you. If that changes, we'll update this policy in line with our legal obligations.

12. Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it if it's wrong or out of date. Contact us using the details below and we'll respond within a reasonable time. There's normally no charge, and we'll let you know if an exception applies.

13. Complaints

If you think we've mishandled your personal information, please contact us first (details below) and we'll work to resolve it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

14. How long we keep it

We keep personal information only as long as we need it for the purposes above, or as required by law (for example, tax and business records), and then take reasonable steps to delete or de-identify it.

15. Children

Our services aren't directed at children, and we don't knowingly collect personal information from anyone under 18. If you believe we have, please contact us and we'll delete it.

16. Changes to this policy

We may update this policy from time to time. The current version will always be on our website, with the "last updated" date at the top.
